Procurement challenges are a common issue across industries, especially for businesses operating in multiple regions such as Europe. Fragmented sourcing, inconsistent hardware specifications, and inefficient vendor management often lead to increased costs and delays in onboarding and offboarding employees. To address these challenges, I led a full revamp of the procurement process, establishing a standardised approach that not only streamlined operations but also enhanced IT efficiency and security.
The Revamped Procurement Process
Instead of relying on multiple suppliers with inconsistent delivery timelines and hardware configurations, I centralised procurement through authorised resellers such as Lenovo, Dell, and Microsoft. This ensures that all devices are sourced from trusted vendors, pre-registered with company standards, and optimised for immediate use upon arrival.
Key enhancements include:
- Authorised Reseller Procurement: Partnering with resellers that integrate directly with Microsoft Autopilot for seamless device provisioning.
- Zero-Touch Deployment: Devices are registered into Intune before being shipped, allowing employees to receive fully configured laptops straight out of the box.
- Bloatware Removal: Devices are shipped without unnecessary pre-installed software, ensuring a clean and optimised user experience from day one.
- Standardised Hardware and Software Configurations: Ensuring all regions receive the same IT setup, reducing troubleshooting complexities and support overhead.
How This Improves Onboarding & Offboarding
With this approach, new employees experience a seamless onboarding process where their devices are fully configured before arrival, reducing IT workload and eliminating the need for manual setup. Likewise, offboarding becomes more efficient, with predefined deprovisioning workflows ensuring secure data removal and device reallocation without unnecessary delays.
Benefits of the Standardised Approach:
- Faster onboarding: Employees can start working immediately without IT intervention.
- Reduced IT overhead: Eliminates manual imaging, software installations, and troubleshooting inconsistencies.
- Improved security: Standardised device configurations reduce vulnerabilities and ensure compliance.
- Cost savings: Bulk procurement and pre-configured deployments minimise waste and inefficiencies.
The Takeaway
Revamping procurement isn’t just about cost savings—it’s about operational efficiency, security, and scalability. By leveraging trusted resellers, Autopilot, and standardised configurations, businesses can eliminate procurement bottlenecks, ensure consistent user experiences, and streamline both onboarding and offboarding processes. As a result, IT teams can focus on strategic initiatives rather than being bogged down by repetitive provisioning tasks.
This transformation has positioned our IT operations to support long-term growth while delivering a superior employee experience, regardless of location.
